We are seeking a dynamic and highly organized Event Manager to plan, coordinate, and execute a wide variety of in-office events and meetings. This role requires a strong focus on delivering a high level of professional service and hospitality, ensuring every guest interaction and event detail reflects the client’s standards of excellence. The ideal candidate is proactive, resourceful, service-oriented, and thrives in a fast-paced environment with flexibility to support events outside of standard working hours.

Responsibilities:

Event Planning & Coordination:

  • Partner with the client’s event planner, marketing team, and business leaders to plan and execute events from inception to completion, always ensuring a polished and professional experience.
  • Serve as a warm, welcoming point of contact for all guests and employees; ensure a seamless, white-glove service experience before, during, and after each event.
  • Coordinate logistics for events ranging from small meetings to large gatherings with up to 200 attendees, maintaining attention to detail and quality at every stage.

Vendor & Supplies Management:

  • Maintain a trusted network of vendors who can deliver high-quality services on short notice (catering, bakery, printing, décor, etc.).
  • Coordinate with food vendors/restaurants, schedule tastings, and finalize curated menus to meet diverse dietary preferences and standards for premium service.
  • Manage the presentation and timely delivery of all food, beverages, and service materials to align with the tone and style of each event.

Décor & Setup:

  • Design and set up event spaces with thoughtful, event-specific décor that enhances the attendee experience and aligns with brand and cultural themes (e.g., Diwali, Christmas, customer events).
  • Ensure event areas, including kitchen and serving spaces, are impeccably clean, stocked, and visually appealing before guests arrive.

Technical & Marketing Support:

  • Collaborate with the client’s IT team to ensure flawless A/V setup and support for presentations, video calls, and media.
  • Oversee the design and professional printing of promotional and informational materials including posters, pamphlets, and standees.

On-Site Event Support:

  • Provide concierge-level support to guests and staff, assisting with setup, food and beverage service, and any ad hoc requests that enhance the guest experience.
  • Organize engaging games, giveaways, and interactive activities to elevate the event atmosphere.
  • Remain flexible and responsive to last-minute needs, including in-person errands to fulfill urgent event requirements.

Post-Event Responsibilities:

  • Lead post-event cleanup and reset, ensuring the space is left in pristine condition.
  • Continuously seek feedback and opportunities to improve the service experience for future events.

Qualifications:

  • 5–7 years of proven experience in event planning, office hospitality, or a related client-facing role focused on high-quality service delivery.
  • Demonstrated commitment to excellence in hospitality and guest experience.
  • Exceptional organizational and multitasking skills.
  • Outstanding interpersonal and communication abilities.
  • Flexible and reliable with availability for occasional evenings and weekends.
  • Solutions-focused mindset with a positive, team-oriented attitude.
  • Physical ability to assist with light furniture or event supply setup as needed.

Salary Range: $85,000 – $95,000 annually, depending on experience and qualifications
