About the Role:

We are seeking a proactive, detail-oriented, and highly organized Executive and Recruitment Manager to support our Reporting, Operations, Finance, and HR teams. This hybrid Chicago-based position blends high-level executive assistance with strategic recruitment and resource planning responsibilities. The ideal candidate will bring a strong background in talent acquisition, internal staffing, and executive support, and will thrive in a fast-paced, collaborative environment.

Key Responsibilities:

  Executive Support

  • Provide administrative support to senior executives, ensuring seamless day-to-day operations.
  • Manage complex calendars, coordinate meetings, and prepare agendas and materials.
  • Draft, review, and proofread professional correspondence, documents, and presentations.
  • Assist in the development of financial and operational reports and performance dashboards.
  • Track project timelines, deliverables, and maintain accurate documentation.
  • Organize and maintain digital filing systems, ensuring confidentiality and data security.
  • Serve as a liaison between internal departments and external stakeholders.
  • Perform general administrative tasks and ad-hoc support as required.

Recruitment & Resource Management

  • Lead full-cycle recruitment: sourcing, screening, interviewing, and offer coordination.
  • Collaborate with department leads to forecast hiring needs and manage internal resourcing.
  • Maintain candidate pipelines and provide weekly recruitment and staffing reports.
  • Oversee internal staffing placements and track resource utilization.
  • Coordinate onboarding processes in partnership with the HR team.
  • Monitor key recruitment metrics (e.g., time-to-fill, quality of hire, resourcing gaps).
  • Ensure compliance with hiring policies and employment regulations.
  • Continuously optimize recruitment strategies and internal staffing workflows.

Qualifications:

  • 4–5 years of experience in executive support, recruitment, or resource/staffing management.
  • Proven ability to balance administrative responsibilities with recruitment functions.
  • Proficiency in Google Workspace and/or Microsoft Office (Excel, Word, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities.
  • High level of professionalism, discretion, and confidentiality.
  • Experience working in hybrid and/or remote environments.
  • Familiarity with applicant tracking systems (ATS) and HR platforms.
  • Knowledge of the Chicago job market is preferred.
