Totally Kids Specialty Healthcare is a small pediatric sub-acute hospital with 45 patients. We are the ONLY long-term care hospital dedicated entirely to children. Our residents' ages range from newborn to 21 years of age, and we are dedicated to enriching the health and quality of life for our kids. Position Description:
This position is responsible for maintaining the filing and database for Human Resources materials and preparing the reports from that information. The ability to handle confidential materials and maintain confidentiality is essential.

Qualifications:

• Knowledge of corporate-level reporting and correspondence is required. Knowledge of Title XXII is preferred. Must have knowledge of Windows based computer systems with a knowledge of Microsoft Word and Microsoft Excel preferred.
• Experience with HRIS systems, including maintaining employee records, managing data, and supporting HR processes through the platform, is required.
• Education/ Training: Minimum of High School diploma. AA degree in business or related college-level coursework is desired.
• Experience: A minimum of two years of experience as an administrative assistant is required. Experience in a subacute or healthcare environment is preferable. Experience as a Human Resources Technician is preferred.

Duties Summary:

• Responsible for screening resumes, coordinating interviews, and managing the onboarding process for new hires.
• Maintain Human Resources files and database per the guidelines set forth by the supervisor.
• Enroll employees in benefits programs.
• Perform pre-employment reference checks. 
• Ensure that pre-employment screening and documents are completed. 
• Distribute performance evaluation forms to managers for completion and track the return of these forms.
• Track leaves of absence.
• Complete employee separation paperwork. 
• Prepare Personnel reports for managers as directed.
• Prepare QI reports for Human Resources
• Place advertisements for open positions. 
• Provide reference information per corporate policy. 
• Coordinate the employee recognition program with the management team. 
• Conduct a monthly audit of personnel files. 
• Other duties as assigned.

Physical Requirements:

• Reading, writing, and verbal skills.
• Lifting requirements: Generally, not lifting or carrying objects that weigh more than 30 pounds.
• Physical skills necessary to operate equipment:
• Must be able to stand, reach in all directions, lift, and carry objects.
• Must have fine motor skills.
• Must be able to read patient information, posted materials, and other printed materials.
• Must be able to speak, read, write, and listen in English with a skill level essential for communication in a sub-acute facility.
• Must have normal physical stamina.
• Must be able to perform chest compressions and hand resuscitation ventilation during CPR.
• Must be able to bend and twist.
• Must have full use of both hands.
• Must be able to walk intermittently, for six to ten hours per shift.
• Ability to concentrate, use good judgment, and maintain accuracy in the face of frequent interruptions and heavy workloads.
